Privacy Policy

This Privacy Policy describes how Thoughts Not Notes ("TNN", "we", "us") handles information in connection with the TNN desktop application for macOS and the website thoughtsnotnotes.com.

Summary: TNN is designed to be private by default. Your audio recordings and transcripts are processed and stored on your Mac. We do not operate servers that receive, store, or transcribe your audio. We do not sell your data and we do not use it to train machine‑learning models.

1. Who we are

TNN is operated by an independent developer doing business as Thoughts Not Notes. For any privacy‑related question or request you can reach us at dom.ziarno@gmail.com.

2. What information we handle

2.1 Information processed locally on your device

The following data is created and stored only on your Mac. We do not receive it and have no ability to access it:

  • Audio recordings of meetings you choose to record.
  • Transcripts generated by the on‑device AI model.
  • Application settings, integration tokens, and local logs.

2.2 Information you provide directly

  • Your email address, if you choose to request a download link or contact us. It is used solely to send you the requested information.

2.3 Information from connected third‑party services

If you choose to connect a third‑party service (such as Google, Notion, Slack, etc.), the application accesses that service on your behalf using the permissions you grant. Tokens are stored locally on your Mac and are not transmitted to us.

3. How TNN uses Google user data

This section is provided to comply with the Google API Services User Data Policy, including the Limited Use requirements.

3.1 Scopes we request and why

  • Sign in with Google (openid, profile, email) — to identify your account inside the app and personalize the interface (your name and email).
  • Google Calendar (read and, where you enable it, write access) — to display your upcoming meetings inside TNN, suggest when to start recording, and optionally attach a link or note about the generated transcript back to the calendar event.
  • Google Drive — to save transcripts you explicitly choose to export to your own Drive. The app accesses only the files and folders needed to perform the action you request.

3.2 Limited Use disclosure

TNN's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. In particular:

  • We use Google user data only to provide and improve user‑facing features of TNN that are prominent in the app's interface.
  • We do not transfer Google user data to third parties except as necessary to provide or improve those features, to comply with applicable law, or as part of a merger, acquisition, or sale of assets with appropriate notice.
  • We do not use Google user data to serve advertisements.
  • We do not allow humans to read Google user data except (a) with your explicit consent, (b) where necessary for security purposes, (c) to comply with applicable law, or (d) where the data has been aggregated and anonymized.
  • We do not use Google user data, including your audio, calendar entries, or Drive files, to develop, improve, or train generalized or non‑personalized AI/ML models.

3.3 Where Google data is stored

Calendar events read by TNN are kept in memory or in a local cache on your Mac for the time needed to display them. Files saved to your Drive are written to your own Google account; we never receive a copy. Authentication tokens are stored on your Mac using the operating system's secure storage.

4. Data we do not collect

  • We do not record, upload, or store your meeting audio on our servers.
  • We do not have access to your transcripts.
  • We do not collect contact lists, browsing history, or location data.
  • We do not use cookies or third‑party analytics on the marketing website beyond what is strictly necessary to serve the pages.

5. How we share information

We do not sell, rent, or trade personal information. The application sends data only to the destinations you configure — for example, your own Notion workspace, your own Slack, your own Drive, etc. Those services are governed by their own privacy policies.

6. Data retention and deletion

Because almost all data stays on your device, you control retention by managing the files in TNN and by disconnecting integrations. You can:

  • Delete recordings and transcripts from inside the app or from your file system.
  • Revoke TNN's access to your Google account at any time at myaccount.google.com/permissions.
  • Sign out and remove the app to clear local data and stored tokens.
  • Email us at dom.ziarno@gmail.com if you want any information we hold about you (for example a download‑link request) to be deleted.

7. Security

We design TNN to minimize the data that exists outside your device. Local data is stored under your macOS user account and inherits the protections of the operating system, including FileVault disk encryption if you have it enabled. Authentication tokens for third‑party services are stored using secure system storage. No method of electronic storage is 100% secure, so we cannot guarantee absolute security.

8. International users

TNN is offered worldwide. Because data is processed on your own device, it is generally not transferred internationally by us. Where you connect third‑party services, those services may store data in their own regions according to their respective policies.

9. Children

TNN is not directed to children under 13 (or the equivalent minimum age in your jurisdiction). We do not knowingly collect personal information from children.

10. Changes to this policy

We may update this policy from time to time. The "Last updated" date at the top of this page indicates when the policy was last revised. Continued use of TNN after an update constitutes acceptance of the revised policy.
