Privacy Policy

This Privacy Policy describes how Thoughts Not Notes ("TNN", "we", "us") handles information in connection with the TNN desktop application for macOS and the website thoughtsnotnotes.com.

1. Who we are

TNN is operated by an independent developer doing business as Thoughts Not Notes. For any privacy‑related question or request you can reach us at dom.ziarno@gmail.com.

2. What information we handle

2.1 Information processed locally on your device

TNN creates and stores the following in local meeting files or app storage on your Mac:

• Audio recordings of meetings you choose to record.
• Transcripts generated by TNN's on-device WhisperKit model, plus meeting notes and artifacts.
• Application settings, integration tokens, and local logs.

These files remain on your Mac unless you choose a connected feature that sends them to a third party. If you choose Generate with Claude in TNN, Claude Desktop reads the selected meeting through MCP only after you send the prepared prompt, and Anthropic processes the text under your Claude account. TNN does not operate Anthropic's service, and Anthropic's terms, privacy policy, and account settings apply to that processing.

2.2 Information you provide directly

• Your email address, if you submit it on the website download form or contact us. The desktop download form sends it to Google Forms and stores it in your browser's local storage; the mobile embedded form is provided by MailerLite. The desktop form says we may contact you for product feedback. Those providers' own terms and privacy policies apply to their handling of the form data.

2.3 Information from connected third‑party services

TNN currently connects to Google Calendar with read-only access; its credentials are stored in macOS Keychain. TNN provides an MCP connector used by Claude Desktop for AI Notes. When you choose Generate with Claude and send the prepared prompt, Claude Desktop can read the selected meeting and save the returned note to its AI Notes field. Content Claude reads is processed through your Claude account as described above. Notion and Slack connections are marked as coming soon in the app, and TNN does not provide a direct Google Drive integration.

3. How TNN uses Google user data

This section is provided to comply with the Google API Services User Data Policy, including the Limited Use requirements.

3.1 Scopes we request and why

• Google account email (email) — to show the connected account in TNN.
• Google Calendar (calendar.readonly) — to read and display your calendar events in TNN. TNN does not request write access to Calendar.

3.2 Limited Use disclosure

TNN's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. In particular:

• We use Google user data only to provide and improve user‑facing features of TNN that are prominent in the app's interface.
• TNN uses Google API data for the features described above. Calendar event details can be included in a local meeting file. If you choose Generate with Claude for that meeting and send the prepared prompt, Claude Desktop may send the selected meeting text, including calendar-derived details, to Anthropic under your Claude account.
• We do not use Google user data to serve advertisements.
• We do not allow humans to read Google user data except (a) with your explicit consent, (b) where necessary for security purposes, (c) to comply with applicable law, or (d) where the data has been aggregated and anonymized.
• TNN does not use Google API data to train its own machine‑learning models. Any processing by a third‑party service you choose to use is governed by that service's terms, privacy policy, and settings.

3.3 Where Google data is stored

Calendar events are fetched from Google and held in TNN's in-memory calendar cache; event details may also be written to a local meeting file when you create a meeting from a calendar event. Authentication tokens are stored in macOS Keychain. TNN has no Google Drive export feature.

4. Data we do not collect

• We do not record, upload, or store your meeting audio on our servers.
• We do not receive your recordings or transcripts on a TNN-operated server. A third-party service may receive meeting content when you use a connected feature, as described in this policy.
• The TNN app does not access your device address book, browser history, or location. Google Calendar event attendee details are accessed as described above.
• The marketing website loads Google Analytics and records page/download interaction events. The desktop download form submits an email address to Google Forms; the mobile form uses MailerLite.

5. How we share information

We do not sell, rent, or trade personal information. TNN reads calendar information from Google Calendar. If you choose Generate with Claude in TNN and send the prepared prompt in Claude Desktop, meeting content is sent by that client to Anthropic. These services are governed by their own privacy policies and settings.

6. Data retention and deletion

TNN's meeting files are stored locally, while information sent to connected services is handled under those services' retention policies. You can manage local files and disconnect integrations. You can:

• Delete recordings and transcripts from inside the app or from your file system.
• Revoke TNN's access to your Google account at any time at myaccount.google.com/permissions.
• Disconnect integrations to remove their stored credentials from TNN. Uninstalling TNN does not delete meeting files you saved in your chosen folder.
• Email us at dom.ziarno@gmail.com if you want any information we hold about you (for example a download‑link request) to be deleted.

7. Security

We design TNN to minimize the data that exists outside your device. Local data is stored under your macOS user account and inherits the protections of the operating system, including FileVault disk encryption if you have it enabled. Authentication tokens for third‑party services are stored using secure system storage. No method of electronic storage is 100% secure, so we cannot guarantee absolute security.

8. International users

TNN is offered worldwide. TNN stores meeting files on your Mac. When you use connected services, those services may process or store submitted data in regions governed by their respective policies; TNN does not control their locations or transfer practices.

9. Children

TNN is not directed to children under 13 (or the equivalent minimum age in your jurisdiction). We do not knowingly collect personal information from children.

10. Changes to this policy

We may update this policy from time to time. The "Last updated" date at the top of this page indicates when the policy was last revised. Continued use of TNN after an update constitutes acceptance of the revised policy.
